Quick Summary
Once flights or hotel are ticketed and hospital appointments are confirmed, no refund is available. Before ticketing, partial refunds may be issued subject to airline policies. The MedTripPro service fee is non-refundable in all cases. You have one free change request before ticketing.
MedTripPro Service Fee
Non-Refundable Under All Circumstances
The MedTripPro coordination and service fee covers the cost of our team's work — including medical consultation coordination, bilingual escort arrangement, itinerary planning, and English medical report preparation. This fee is earned upon booking and is non-refundable regardless of the reason for cancellation, including but not limited to personal emergencies, visa denials, or changes in medical plans.
After Flights Are Ticketed or Hospital Is Confirmed
No Refund Available
Once any of the following actions have been completed, the booking is considered fully confirmed and no refund can be issued:
- Flight tickets have been issued by the airline
- Hotel reservation has been confirmed and is non-cancellable
- Hospital appointment has been officially scheduled and confirmed
Important: MedTripPro will notify you by email before ticketing. You have a window to request changes or cancellation before we proceed. Once ticketing is confirmed via email, this policy applies.
Before Ticketing — Partial Refund May Apply
If you cancel your booking before flights are ticketed and before the hospital appointment is confirmed, a partial refund of the airfare and hotel portion may be available, subject to the following conditions:
Airline Refund Policy Applies
Refund amounts depend entirely on the airline's fare rules. Some airlines allow full refunds on flexible fares; others may only refund 10% or less of the ticket price. MedTripPro will pass through whatever refund the airline provides, minus any processing fees.
Hotel Cancellation Policy Applies
Hotel refunds depend on the cancellation terms of the specific property booked. We book hotels with the most favorable cancellation windows available, but free cancellation is not always guaranteed.
Service Fee Is Non-Refundable
Regardless of when you cancel, the MedTripPro service fee (20% coordination fee) is non-refundable. This covers work already completed by our team.
One Free Date-Change Request
Change Your Trip Dates — Once, Free of Charge
We understand that plans change. Before your flights are ticketed, you are entitled to one free date-change request. Simply contact your assigned coordinator and we will do our best to accommodate the new dates at no additional service fee.
Hospital & Medical Fees
Hospital and medical fees are paid directly to the hospital in China and are not collected by MedTripPro. Refund or cancellation of medical fees is governed entirely by the hospital's own policies. MedTripPro has no authority over and accepts no liability for hospital-side refunds.
How to Request a Cancellation or Change
To initiate a cancellation or date-change request, please contact us through one of the following channels. All requests must be submitted in writing to create a paper trail.
Response time: within 24 hours on business days. Cancellation requests are processed in the order received.
MedTripPro reserves the right to update this policy at any time. Changes will be posted on this page with an updated date. Continued use of our services constitutes acceptance of the revised policy.
